BF COMMUNITY CLUB AUDIT - INDIVIDUAL MEMBERSHIP REMINDER

As part of our insurance renewal process we are providing our insurers with data on the approximate number of BF members connected with each club in the BF membership platform. Club secretaries are encouraged to check and respond to any emails they receive to ensure that their cover is not affected. As a reminder, community clubs are typically only insured to deliver to BF members.

As part of our insurance renewal process we are reviewing activity levels in affiliated clubs to ensure they (the club and the people that run the club) and all their participants are covered for fencing activities.

To do this we will be categorising community clubs, initially by using the data that we have on them in the BF Membership Platform (Sport:80).

The categories will be

  • 1-4 Establishing Club (< 2 yrs old)
  • 5-9
  • 11-24
  • 25-49
  • 50 and over

As a reminder, insurance cover for affiliated clubs (and their coaches and volunteer workforce) is only valid if all participants are members (and there is a free introduction membership available).

There may be some situations where our membership platform data does not reflect the typical number of people who participate in your club. If that is the case we will make a note on your club record, confirming your regular process for checking that everyone participating in your club sessions is a member of British Fencing, or is one of the limited exceptions for non-members (see non-members under INSURANCE POLICIES & GUIDELINES – BRITISH FENCING)

We have a simple individual membership checking tool that clubs can use to check the data we have – more information can be found here  Membership Lookup – BRITISH FENCING.

To see how many members are affiliated with your club please log into the BF Membership Platform and follow the instructions here:

  • From the left-hand menu, go to the Members tab.
  • Select Smart List, then click on Filters.
  • Set up the filter as follows:

o   Filter 1: Memberships

o   Membership: British Fencing Membership

o   Status: Valid

o   Membership Types: Select all options

  • Click Create.

This will generate a list of all members with a valid membership at your club.

If any type of incident arises that could lead to an insurance claim (accident, injury, safeguarding etc), insurance cover for your club officials and coaches may be affected if your club is delivering fencing to non members.

We have also had occasions where participants have been injured in clubs and would have been entitled to make valid claims against BF’s Personal Accident policy had they been members. In those situations, in the event of an arising claim against the club, club officials may not be covered by BF insurance if they cannot demonstrate they have taken all reasonable steps to ensure that participants were members.

In addition to membership requirements there are other standards that affiliated clubs are expected to adhere to and cover may be affected if clubs are non compliant. More information about club compliance standards can be found here.
